Projects and knowledge base in Chat: your files for the AI
A project groups chats on one topic, with instructions and a knowledge base. The AI uses your documents and notes in every chat of the project.

Use a project when you come back to the same topic again and again: your business, a course, a trip, a job. You upload price lists, lecture notes or contracts once, write how the AI should answer, and every new chat in the project already knows all this.
What a project contains
| Part | What it does |
|---|---|
Chats | All chats on the topic in one folder in Chat history |
Instructions | Rules for the AI in this project: context, answer style, what to focus on |
Knowledge Base | Your files and texts, which the AI uses when answering |
The knowledge base needs a signed-in account; guests cannot use it.
How to create a project
In the Chat tab open ⋮ → Chat history.
Tap Create project (or + next to Projects).
Enter a name and instructions, or tap one of the examples: My business, Studying, Trip planning, Content & social media, Work assistant. The example fills in the name and instructions, and you can change them later.
Save the project. To start a chat in it, tap + next to the project name, or open the project menu (⋯) and choose New chat in with the project name.
The same menu (⋯) has Project Settings with the General and Knowledge Base tabs, and Delete project. Deleting a project removes it together with all its data.
How to add files and notes to the knowledge base
Open Project Settings → Knowledge Base.
Tap Add material.
Choose File to upload a document, or Text to type or paste a note and give it a name.
Wait until the status “Processing” disappears. If you see “Processing error”, tap Retry processing.
Accepted files: PDF, DOCX, PPTX, XLSX and XLS, text and data files (TXT, MD, CSV, JSON, HTML, XML, YAML), images (JPG, PNG, WebP, GIF, HEIC) and code files. Audio and video cannot be added to the knowledge base: transcribe them first with Text Transcription or Video to Text and add the text.
You can also save an answer from a project chat: tap Save to knowledge base (the bookmark under the message) and give the entry a name. Or ask the AI “Save this to the knowledge base”.
Search on demand or always in context
Each material in the knowledge base has a mode, and you can switch it under “How it is used in chat”.
| Mode | How the AI uses it | When to choose |
|---|---|---|
Search on demand | The AI pulls in relevant excerpts when your question needs them. The status shows “Searching knowledge base” | Large documents, many files, reference material |
Always in context | The whole material is added to every request in the project | Short, important texts: rules, a price list, a profile of your company |
“Always in context” has limits: one file up to 10 MB, one material up to 50,000 and all such materials up to 70,000 units of text in total. These are model text units shown as “tokens” on the Permanent context bar, not VocaLingo tokens. Materials that are always in context are reread with every message, so each answer in the project costs more. When the bar shows “Permanent context is almost full”, switch large materials to search on demand.
Frequently asked questions
Does the AI see the knowledge base in chats outside the project?
No. The knowledge base and instructions work only in the chats of that project.
Can the AI analyze a spreadsheet from the knowledge base?
Yes. Data files from the knowledge base are available to the AI when it runs code, so it can calculate and build charts from them. See running code in the chat.
